We are currently seeking an Administration Coordinator to join our Aftersales team to provide outstanding customer service to Trelleborg clients worldwide and will be responsible for:

  • Working collaboratively with the Service Manager and Site Service Engineers in scheduling and planning of site service activities worldwide.
  • Assisting in the maintenance and operation of the technical support case management system, e.g., reporting, engineer follow ups, conduit to site scheduling, etc
  • Maintaining and monitoring Service Engineer records including but not limited to visas, medical status, safety cards, offshore qualifications, drug & alcohol testing and expense claims
  • Ensuring site job reporting requirements are submitted complete and in a timely fashion
  • Preparing billing and charge out summaries
  • Maintaining administrative compliance in third party systems such as ISNET
  • Ensuring Service Engineers spares inventories are regularly replenished
  • Administering customer service survey process
  • Identifying gaps in current process & operations, suggest and implement process improvements as appropriate
  • Providing general admin support to the Service team as required

To be considered for the position we must see:

  • Secondary school as a minimum, diploma or vocational experience well regarded
  • 3 - 5 years appropriate work experience in a similar role, e.g., service coordination & dispatch, customer service or office administration
  • Competent with MS Office suite of products
  • Experience dealing with external customers
  • Experience with an ERP esp. Dynamics AX 2012 / AX 365 desirable
  • Australian or New Zealand citizenship or having a valid visa for working in Australia.
